Refund Policy

Rose Thorn AI, LLC ("Rose Thorn AI," "we," "us," or "our") is committed to clear, fair, and transparent billing practices. This Refund Policy explains how refunds are handled for our services.


1. Consulting and Project-Based Services

Unless otherwise stated in a written agreement:

  • All one-time consulting services, diagnostics, assessments, workflow builds, automation projects, and fixed-fee engagements are non-refundable once work has begun.
  • Work is considered to have begun once any of the following occur:
    • A kickoff call has taken place
    • Documents or data have been reviewed
    • Analysis, drafting, or system design has started

Because our services involve time, expertise, and customized work, we do not offer refunds for partially completed engagements.


2. Retainer Services

For ongoing or retainer-based services:

  • Retainers are billed monthly in advance
  • You may cancel a retainer with written notice
  • Cancellation will take effect at the end of the current billing period
  • No refunds are provided for partial months or unused hours

3. Prepaid Sessions or Deposits

If a service requires a deposit or prepaid session fee:

  • Deposits are non-refundable unless otherwise stated in writing
  • Prepaid sessions must be used within the agreed timeframe
  • Unused sessions are not refundable

4. Exceptions

Refunds may be issued at Rose Thorn AI's discretion in limited circumstances, such as:

  • Duplicate charges
  • Billing errors
  • Services not delivered due to circumstances solely attributable to Rose Thorn AI

Any approved refunds will be processed to the original payment method.


5. Payment Processing

Payments are processed through third-party payment processors, including Stripe. Refund timing may vary depending on the processor and financial institution.
